Steps
Open Business Summary (Summary group). Pick a period: This month, Last month, 30 days, 90 days, This year, or Custom dates (at most 366 days). Six cards: net sales, gross profit, ending cash, receivables, vendor payables, low/out-of-stock items; two charts (daily sales, cash in vs out over 12 months); top 5 products and customers.
Figures come from the shop's daily summary (computed nightly). When the page opens, today's figures refresh automatically (at most every 10 minutes), so the page stays light even with a long history.
Open Financial Reports > Profit and Loss: Online sales + Cashier sales - Returns = Net sales; minus COGS (item cost) = Gross profit; minus marketplace commission, payment fees, and expenses = Net profit. The Previous period column compares with the preceding period of equal length. Every line has a short explanation.
Cash Flow: three cash accounts (Shop cash, Bank and online funds, Satupack balance) with opening balance + in - out = closing balance, detailed per category. The Shop cash closing balance equals Cash balance in Finance and the Cash Book.
Balance Sheet: the position on one date. Assets (cash on hand, bank, receivables, inventory) = Vendor payables + Owner's equity + Retained earnings. Inventory = stock x cost; when some stocked items have no cost yet it is flagged as an estimate. Vendor payables show 0 until Purchase Order payment tracking is available.
Press Download CSV or Print / PDF on each report and on the Business Summary. Downloads are logged in the Activity Log and printed documents carry the downloader's name (watermark).
Open Chart of Accounts to see the 24 default accounts (cash, bank, receivables, inventory, vendor payables, equity, sales, COGS, commission, expenses). Holders of Manage finance can Rename accounts, Add expense/other-income accounts, and deactivate added accounts. Default accounts cannot be deactivated because reports use them.
Category mapping tab: every cash category (salary, operations, shipping, tax, and more) points to one account. Changing a mapping changes the Expense and Other income lines of the next Profit and Loss; changes are logged permanently.
Adjusting journals tab (optional): record corrections that are not in cash, for example unpaid rent (debit Rent, credit Vendor payables). Journals are permanent: they can only be Cancelled with a reason, never edited or deleted. Cash, bank, and Satupack balance accounts cannot be used in journals; real money is recorded in Finance.
If figures do not match Sales History or the Cash Book (for example an old cash entry was cancelled), press Recalculate summary in Chart of Accounts for a date range (at most 366 days back).
Tips
- Fill in the cost (base price + other costs) of each item in Product Prices so COGS, gross profit, and inventory value stop being labelled as estimates.
- Team members with View finance can only view; changing accounts, mappings, journals, and recalculating require Manage finance. Every change is logged permanently in the History tab.
- Online sales count on the date the order is completed (same as Sales History), cashier sales on the receipt date, cash on the entry date.
Common questions
Why is gross profit marked as an estimate?
Some sold items have no cost in Product Prices yet, so their COGS is not counted. Fill in the costs and the next figures will be complete automatically.
Why are vendor payables 0?
Purchase Order payment tracking (due date and paid amount) is not available yet; once it is, the card and Balance Sheet fill in without extra setup. You can still record payables through an adjusting journal.
Is the Satupack balance added to assets?
No, it is shown for information only. Online sales receipts are already recorded as shop cash when an order completes, so adding it again would double count.
